Who we are

What we collect when you contact us

When you send the enquiry form, we keep:

  • your name, work email address and company name;
  • your country or region, the kind of business you run and the size of your team;
  • your phone number, if you give one;
  • your message, if you write one;
  • whether you asked for product news;
  • the page you first arrived on and how you found us: the site that linked to us and any campaign tags in the link.

We don’t store your internet (IP) address with your enquiry. Our server looks at it only to stop repeated automated submissions, holds it in memory briefly, and never writes it down.

If you email us instead, we keep your email and anything you include in it.

Why we use it, and our lawful basis

  • To reply to you, arrange a demo and send what you asked for. Our lawful basis is taking the steps you ask for before a possible contract, and our legitimate interest in answering business enquiries.
  • To send you occasional product news, only if you ticked the box. Our lawful basis is your consent; you can withdraw it at any time by replying to any of those emails or writing to us.
  • To see which pages and links bring enquiries, so we can improve the site. Our lawful basis is our legitimate interest in running and improving it.

We don’t use your information for automated decisions about you, and we don’t sell, rent or trade it.

How we count visits, without cookies

When a page opens, and when you press a main button, start the form, send it or download the brochure, your browser sends us a short anonymous note: the page address, the page language, the site that linked to us, any campaign tags in the link and what happened, including which button. Our server adds the country your connection comes from, drops your IP address and passes the note to Microsoft Azure Application Insights, where we see totals.

The note carries no cookie and no identifier, so it can’t tell one visitor from another or recognise you when you come back. UK law allows this kind of counting for statistical purposes without asking first, provided we explain it and you can object simply and free of charge.

To object, turn on Don’t count my visits at the foot of any page. Your browser remembers the choice and sends nothing more. If your browser sends a Global Privacy Control signal, we treat it as the same choice automatically.

What this site keeps in your browser

This site sets no cookies. It keeps up to three small notes in your browser’s local storage, only after you act, and only so the site remembers what you chose:

You switched on “Don’t count my visits”.
am-language-hint-dismissed
You closed the suggestion to read the site in the other language.
am-sign-in-company
The company address you last entered on the sign-in page, so you don’t have to type it again.

They never leave your device and we can’t read them. You can delete them at any time in your browser’s settings.

What we don’t do

  • No cookies, on any page.
  • No advertising, social media or third-party tracking tags, and no recordings of your visit.
  • No selling, renting or sharing your information for anyone else’s marketing.

Who handles it for us, and where

These companies process information on our behalf, under contracts that let them use it only to provide their service to us:

Microsoft Azure
Hosts this website and stores enquiries, in its UK South region (London).
Mailgun
Sends us a copy of each enquiry and sends you the confirmation email, from its EU region.
Microsoft Azure Application Insights
Receives the anonymous visit counts described above.
Our email service
Holds the enquiry copies and the emails we exchange with you.

Your information is held in the UK and the European Union. Members of our team who work in Japan may read enquiries; UK law recognises Japan as giving personal information adequate protection.

How long we keep it

  • Enquiries: 24 months from when we receive them, then we delete them. If you become a customer, what we need to run your account moves under your contract.
  • Product news: until you unsubscribe.
  • Visit counts: they identify no one, and we keep them only as long as they help us see trends.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal information we hold about you;
  • correct it, or complete it;
  • delete it;
  • restrict how we use it, or stop using it;
  • stop sending you product news, which we always will;
  • give it to you, or another organisation, in a common machine-readable format.

Write to max@mxds.co.uk. It costs nothing. We may ask you to confirm who you are, and we reply within one month.

Complaints

If you are unhappy with how we have handled your information, please tell us first, by email or through our contact form. We acknowledge every complaint within 30 days and tell you what we will do.

You can also complain to the UK’s data protection regulator, the Information Commissioner’s Office, at ico.org.uk/make-a-complaint or on 0303 123 1113.

How we protect it

Everything you send travels encrypted over HTTPS. Enquiries are stored encrypted, only our team can open them, and the keys our server uses are kept out of the website’s code.

Changes to this notice

When we change what this notice says, we change the date at the top of the page. If a change affects how we use information you have already sent, we will tell you by email.
